How can I organize the policies in my Manual?
Each Manual you create in VAIRKKO can have an unlimited number of Sections. Think of Sections as ‘chapters’ in your Manual.
What are some examples?
Examples of Section names include:
- Attendance
- Dress Code
- Performance Guidelines
- PTO
- Harassment Policies
- Equipment Servicing Procedures
How do I set this up?
Step 1: On the left hand Admin toolbar, click Information > Policies and Manuals
Step 2: Click into the Manual to which you are adding Sections.
Step 3: Click Change Manual Settings in the top right hand corner of the page.
Step 4: Click the Add Section tab.
Step 5: Add a Section Number. This can be 1,2,3 or 100, 200, 300 and depends on your organization’s preference.
Section Numbers tell the system how to order your Sections within your manual (and can be edited at any time).
Step 6: Name your Section.
Step 7: If applicable, you can limit who in your organization will see this section using Publishing Options. For example, if there is a section called “Anti-Harassment : Manager Responsibilities', you may choose to publish that to only a ‘Managers’ Employee Group.
Leave all fields blank to publish to all employees.
tep 8: Click Submit.
*NOTE: As an alternative, you may also choose to add Sections one at a time as you are adding your Policies. For more information on this method, take a look at the Create and Manage Policies article.
How do I manage this later?
Step 1: From inside the Manual editing area, click the Change Manual Settings button in the top right of the screen. From there, you’ll be taken to the Current Sections tab.
Step 2: Here you have the following editing options:
- Delete a section via the red trash can icon.
- Change the number for a section.
- Re-name a section.
- Change the Publishing Options.
- Document the point value for each section (optional).
- This is used by some organizations as part of their Behavior Management system. Some infractions result in points, which are used in determining the proper administrative action. This feature is optional.
NOTE: Changes here are saved automatically. There is no Submit button.
VAIRKKO Best Practices
- Sections should serve the primary purpose of making it easy for your employees to reference a particular policy at any given time. Make sure the naming conventions you use are clear, and correctly describe what policies will lie within.
- If you choose to use the Point System, do so with extreme fidelity. This method sets the expectation with your employees that discipline will be handled with consistency, so make sure you are meeting that expectation.
