Can I customize the look of emails sent from our VAIRKKO system?
The Email Branding feature gives you control over the how emails sent from VAIRKKO will appear to your employees. You can customize the color, determine if a logo is used, and even control the default sender information.
What are some examples?
- Customize the colors used in an email to compliment your organization’s brand.
- Change the sender display name to “John Smith” or “Widget Inc.” depending on what makes sense for your company.
- Contact information is typically the name of the primary VAIRKKO Administrator(s) for your organization.
How do I set this up?
Step 1: From the General Settings area, select Email Branding from the top menu.
Step 2: First Customize the User Email:
- Sender Display Name - will appear in the Sender column of the recipient’s email inbox. This can be an individual, the name of your company, or whatever will make the most sense for your organization.
- Accent Color - changes the ribbon color used which separates the header of the email and the body. Also changes the button. You can select a color manually, or use the exact HEX code for your organization’s brand colors (recommended).
- Company Logo - determine if you want your organization’s logo to appear in the email. This logo is added in the Site Theme area.
- Contact Information - if an employee has questions about the email they received, who at your organization should they reach out to?
Step 3: Save changes. If you change your mind, selecting Abandon changes reverts these settings back to the version they were before you made the changes.
- Selecting Restore Default Theme will change all settings to the VAIRKKO defaults which are green for the brand colors, and the name of the Admin who created the assignment/task for all other fields.
Step 4: Next, Customize the Admin Email from the Admin Email tab at the top.
- You may choose to leave the default settings here, as these emails generally pertain to reports/alerts. It may be helpful for it to be obvious that they are VAIRKKO-related.
Step 5: Save changes.
How do I manage this later?
- Follow the same instructions for setup listed above.
- Submit when you’re finished making changes.
- As a reminder, selecting Restore Default Theme will change all settings to the VAIRKKO defaults which are green for the brand colors, and the name of the Admin who created the assignment/task for all other fields.
