Overview
While eLearning courses can be taken by your employees independently, sometimes it makes sense to guide a group of employees through a course virtually, especially in the age of digital meetings. With Instructor Guided Courses within eLearning Cloud, you can configure your course to include meeting information from Zoom, GoToMeeting, or any other virtual meeting platform. This also allows you to specify a start time, and even give the instructor control over opening the test/meeting without that employee having Admin access.
How to set up an Instructor Guided eLearning Course
- After logging in, go to the Admin area.
- Using the left-hand toolbar to go to Education > eLearning Cloud
- Either create a new course or convert an existing course, go to Actions > View/Edit Course.
- From the Course Details tab, scroll down to Course Type.
- Select “Instructor-Guided Course” from the dropdown menu.
- Add in your Meeting Info. This information can usually be easily copied from your virtual meeting platform (Microsoft Teams, Zoom, Webex, GoToMeeting, etc.) and pasted into the Meeting Info area.
- Most meeting details contain a specific Webinar link. Include that link in the specified box (this will likely be in addition to the Meeting Info area).
- Enter a time the webinar meeting will begin for your employees to reference.
If the instructor is an employee, but not an admin:
- From the same area within Course Details, copy the Test Control URL by clicking that text.
- Select the Instructor(s) from the “Email webinar details…” box.
- Click “Open Email Editor to Send”
- Provide the necessary information for the Instructor, specifically:
- The Test Control URL so that he/she can open the test from that link.
- The call-in information.
- Any other instructions he/she may need.
Conducting an Instructor Guided Course:
- Assign the Instructor Guided Course to employees as you would for any other eLearning Course. Feel free to include the meeting information in the text field when creating the Assignment.
- Make sure your employees know how to access the webinar via your virtual meeting platform.
- Make sure your employees know how to access the course, either by clicking the link from the email notification, heading to their Assignments area of the eLearning LaunchPad or from the new “Instructor Guided Course” area from the eLearning LaunchPad.
- Make sure your employees know what will be expected of them while the instructor is guiding them. Should they watch and listen? Or should they follow along within their own course on their computer screen?
- The instructor should log in to the virtual meeting and conduct the session.
- When finished, the instructor may open the Test Control so that employees can proceed with their assessment.
- As an Admin this can be done from the Course Details tab by clicking the Open Test Control button, and then clicking “Open Test to Students”
- As non-Admin instructors, they can access the Open Test Control page from the link that was provided to them. (Refer to the steps for “If the instructor is an employee, but not an admin” above)
- From here the test can be completed and data can be collected as it would with any other eLearning course.
